CaseSage makes document-intelligence software that law firms run on their own servers. This policy explains what information we collect, why, and what we do with it. It covers this website, email you send us, and the small amount of information the CaseSage software can send us. In this policy, "we" and "us" mean CaseSage.
The short version: your case files and client documents never come to us. The software runs on your hardware and keeps them there.
1. Your firm's documents
CaseSage is installed on a server that your firm owns or controls. Your documents, the search index, AI summaries and answers are stored there and processed there, by AI models running on your own machines. We do not receive, host or have standing access to any of it.
- Cloud AI is off by default. If your administrator chooses to turn on a cloud AI provider, CaseSage sends the content needed for that work to the provider your firm selected, under that provider's terms. This needs your firm's consent and each case's consent, and nothing goes to us.
- Support access only when you grant it. If you ask for hands-on support, we see only what you choose to show us, for that session, under confidentiality terms written for privileged material.
2. What the software can send us
| What | When | What is sent |
|---|---|---|
| Update check | Only if the server is online and update checks are on | A request for our signed list of releases. It does not include information about your firm or your cases. |
| Optional health report | Off unless your administrator turns it on | An installation identifier, the software version, and counts (such as numbers of documents, cases, queued items, errors and backups). Never document content, names or case details. |
Licenses are checked on your own server; there is no online license check. CaseSage can run with no internet connection at all, with updates applied from a file.
When your administrator downloads AI models, or the software uses services your firm configures (such as your own email system for notifications or Microsoft 365 sign-in), those connections go to those providers, not to us.
3. This website
- No tracking. This site sets no cookies and loads no analytics, advertising pixels or third-party scripts. Its fonts and images are served from our own host.
- Hosting. The site is hosted by Cloudflare. Like any web host, Cloudflare processes technical information about each visit (such as your IP address, browser type and the page requested) to deliver the site and protect it from abuse.
4. Information you send us
When you contact us through a form on this site or by email, we receive what you choose to send, which may include:
- your name, work email address and firm name;
- your firm's size and the case-management system it uses;
- what you would like from us (for example a call, or more information) and any message you write;
- if you arrived through a link that carries them, the campaign labels in that link (such as
utm_sourceorgclid), which tell us which of our own announcements or ads brought you here.
We use this information only to reply to you, to arrange what you asked for, and to understand which of our own outreach works. We do not sell it, rent it, or share it for others' marketing. We do not add you to a mailing list unless you ask.
Email to our addresses (such as hello@casesage.ai) is received through Cloudflare's email routing and delivered to our email provider, Google Workspace.
5. Who else handles information
We use a small number of service providers to run the site and our email: Cloudflare (website hosting and email routing) and Google (email). They process information on our behalf to provide those services. We may also disclose information if the law requires it, or to protect the rights and safety of our users or ourselves.
6. How long we keep it
We keep correspondence and enquiries for as long as we are talking with you and for a reasonable period afterwards to keep a record of our business dealings, unless you ask us to delete them sooner and we are not required to keep them.
7. Your choices
You can ask us what information we hold about you, ask us to correct it, or ask us to delete it, by writing to privacy@casesage.ai. We will respond within 30 days.
8. Security
The site is served only over HTTPS. Our product is designed so that the most sensitive information, your case files, never reaches us at all. For information we do hold, we limit access to the people who need it.
9. Children
This site and our software are for businesses. They are not directed to children, and we do not knowingly collect information from children.
10. Changes
If what we collect or how we use it changes (for example, if we add website analytics or release a downloadable tool), we will update this page before the change takes effect and change the date at the top.
